Stop losing variations inside emails and spreadsheets

Variations are usually recorded three times: in the correspondence that raised them, in a commercial manager's working file, and in the valuation where they eventually appear. When those records disagree, entitlement is argued from memory — and the weakest version of the record is the one that decides the outcome.

One register, updated when the event happens, removes that problem. It also removes the month-end exercise of reconstructing what was submitted and when.

The register separates what has been agreed from what is still open. That distinction drives the forecast: agreed variations move into the cost position, while open items remain identified exposure rather than assumed revenue.

Totals for submitted, under review and rejected value roll into the Commercial score in the KPI Center and appear on the Executive Dashboard. Leadership sees the size of the open commercial position without requesting a claims report.

Keep a traceable project record

Because dates and references are captured as events occur, the register doubles as the chronology used in negotiation or dispute. It links naturally to the contract data the entitlement relies on and to the payment applications the agreed value is claimed through.
